Position Description
Position Summary:
Constellation Service Company is seeking a highly organized and detail-oriented Payroll Administrator to manage weekly payroll processing for a multi-entity, multi-state organization. This role plays a critical part in ensuring all employees are paid accurately and on time, while maintaining compliance with state and federal payroll regulations.
Ideal candidates will have experience in complex payroll environments, strong communication skills, and a collaborative mindset to work effectively with HR, accounting, and field operations.
Key Responsibilities:
- Review, audit, and process weekly timecards for accuracy and compliance
- Handle time corrections and timecard exceptions as needed
- Maintain employee payroll records, including wage rates, union classifications, and labor cost rates
- Maintain and update payroll templates, including union jurisdictions and prevailing wage rates
- Ensure timely and accurate processing of payroll-related tax and benefit payments
- Prepare and submit certified payroll reports and union remittances
- Coordinate with HR to ensure proper onboarding, employee classification, and deduction setup
- Maintain accurate records for ACA compliance and benefit eligibility tracking
- Process terminations; verify timing of inactivation and support COBRA eligibility processing
- Collaborate with HR during open enrollment; maintain data accuracy in payroll system and benefits portals
- Monitor payroll-related compliance including federal and state returns (e.g., 941s, 940s, SUTA)
- Provide reporting for workers’ compensation and labor allocations
- Support audits and internal reporting requests
Position Requirements
Preferred Qualifications:
- 3+ years payroll experience in a multi-state or unionized environment
- Experience working with construction or field-based workforce preferred
- Strong knowledge of payroll compliance and labor cost tracking
- Proficiency in Excel and payroll systems (Viewpoint Vista a plus)
- Excellent organizational and communication skills
- Accounting degree preferred but not required
